Planning budget and event checklist

Budget planner

Open Planning from the event side panel. The Planned Budget KPI is the total of all line items on the Budget Planning tab.

Click Add Item → Add Budget Item. Fill Item Name, Estimated Amount (PHP), Category (Equipment, Staff, Food, Venue, Marketing, Other), and optional Notes. This is your plan. Actual spend is logged later in Evaluation as expenses. There is no automatic import from budget to Evaluation.

Event checklist

The Event Checklist tab tracks tasks. Checklist Progress shows completed versus total (and the percentage). New events start with 24 default tasks in Pre-Event, Venue, Marketing, Logistics, Day-Of, and Post-Event. Click Add Item to add a Task, Category, optional Due Date, and Notes. Use the All tab to see budget and checklist together.

How Planning connects to Evaluation

Planning is the plan (Planned Budget + checklist). Evaluation is what actually happened: Ticket Net Revenue, Sponsorships, Total Expenses, and Total Net Revenue.

Planned Budget does not automatically become expenses. After (or during) the event, log real spend on Evaluation so Total Net Revenue is ticket sales plus sponsorships, minus expenses. Use Planning to stay organized; use Evaluation to close the books.
